1. Overview
This Privacy Policy describes how DRMA Insurance Agency(“we,” “us,” or “our”) collects, uses, and shares information when you visit our website or submit information through our quote, contact, or consultation forms. By using the site you agree to the practices described below; if you do not agree, please discontinue use of the site.
We’re a small, independent insurance brokerage. The information we collect is the minimum needed to provide quotes, follow up about your coverage options, and connect you with the right carriers. We do not sell your information, and we will never use it to spam you.
2. Information We Collect
We collect information in two ways: what you voluntarily give us, and what the site collects automatically.
Information you submit. When you request a quote, schedule a consultation, or contact us, we collect the fields you enter into the form — typically:
- Name
- Email address
- Phone number
- ZIP code and (for Medicare / ACA quotes) date of birth
- Coverage details relevant to the match (e.g. doctors you want to keep, prescriptions, preferred plan type, household composition)
- Any free-text notes or questions you choose to include in the message field
Information collected automatically. When you visit the site, our servers — and, in some cases, third-party analytics or error-monitoring services — log standard technical details: IP address, browser type and version, device type, referring page, pages viewed, and timestamps. We use this information to understand how the site is used, to diagnose problems, and to keep it secure.
4. Third-Party Services
To operate the site and deliver the services you request, we rely on a small number of trusted third-party providers. They receive only the information needed to perform their specific function, and they are contractually obligated to protect it.
- Transactional email service. Used to deliver quote confirmations, follow-up messages, and notifications triggered by forms on this site (e.g. the quote, contact, and consultation forms). When you submit a form, the contents of that form — and only those contents — are sent to this provider for delivery. The provider logs delivery status but is not permitted to use the content for any other purpose.
- Hosting and infrastructure. Our site is hosted with a managed cloud provider that stores the application database (encrypted at rest) and runs the forms behind HTTPS. They do not access form contents beyond what is required to deliver the request.
- Stripe (if/when payments). We do not currently collect payment information on this site — our service is free to you, paid by the carrier. If we ever add payment processing (e.g. for ancillary services), Stripe’s Privacy Policy will govern the payment data they collect. We will update this section before going live with any payment flow.
5. How We Use Your Information
We use the information we collect for the following purposes:
- To provide the quote, consultation, or follow-up you requested.
- To contact you about your coverage options, typically by phone or email, and only in response to a form you submitted.
- To connect you with appropriate carriers as part of the quote process.
- To operate, secure, and improve the site (e.g. fixing broken pages, understanding which content is most useful, and detecting abuse).
- To comply with applicable law and respond to lawful requests.
We do not use your information for advertising or marketing to people who have not requested a quote from us.
7. Data Retention and Security
We keep your information only as long as needed for the purposes described in this policy, plus any period required by law. In practice:
- Quote and contact form submissions. Retained for the duration of our relationship with you (including post-enrollment support across plan years) and then archived or deleted on a rolling basis.
- Server logs. Retained for a short period (typically days to weeks) for security and debugging, then aggregated or deleted.
- Analytics data.Retained per the analytics provider’s default window; identifying information is aggregated where possible.
We protect your information with reasonable administrative, technical, and physical safeguards designed to match the sensitivity of the data. The site is served over HTTPS, form submissions are encrypted in transit, and the application database is encrypted at rest. No system is perfectly secure, but we work to keep risk low.
8. Your Rights and Choices
You can always contact us to:
- Request a copy of the personal information we have on file for you.
- Ask us to correct inaccurate information.
- Ask us to delete your information, subject to the retention rules in Section 7.
- Opt out of any future follow-up communications.
Use the contact details in Section 11 below. We respond to verifiable requests promptly and free of charge.
9. Children’s Privacy
The site is not directed to children under the age of 13 (and, for California residents, under 16), and we do not knowingly collect personal information from children. If you believe a child has submitted information through the site, please contact us using the details in Section 11 and we will delete it promptly.
10. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, our third-party providers, or applicable law. The “Last updated” date at the top of this page reflects the most recent revision. Your continued use of the site after changes are posted constitutes your acceptance of the revised policy.
For material changes — anything that meaningfully expands the data we collect, the ways we use it, or who we share it with — we will make a reasonable effort to notify active clients by email before the change takes effect.
